Bookingconditions.

Last updated

The booking form will not send until you agree to these conditions, so this page says what the site actually does with your request — the price it quotes, the discounts it applies, the places it holds for you and the point after which it will not let you cancel on your own.

What we do with your data

A request is not yet a booking

The form sends a request. It charges you nothing — there is no checkout on this site and no payment processor behind it — and it commits you to nothing until we have spoken. We read it, check the date is still free, and come back to you on WhatsApp to agree the details and the money.

It becomes a booking when we confirm it in that conversation and mark it confirmed here. Until then your account shows it as requested and the price on it is a quote, not a bill.

Every request is given a short reference code such as NL-4F7K2Q. It is how you and we name the same booking out loud, and it is the fastest thing to quote at us in a message.

What your request holds

Each departure has a fixed number of places, and the number shown as remaining is that capacity minus everyone on every booking for the date that has not been cancelled. Your request takes its places the moment you send it, before anybody has confirmed anything — if it did not, we would be ringing you to confirm a date that had been sold twice over in the meantime.

So a request nobody is going to use is a horse standing idle. Cancelling it puts the places back on sale the same second, which is the whole reason the cancel button exists.

The price, and what is billed

Prices are per person and in whole US dollars, in all three languages.

The price is fixed when you send the request
What is stored on the booking is the price the departure was advertised at in that moment. If we later change what that journey costs, your request keeps the price you were shown.
Every place booked is billed
The party size on the booking is what is charged for, whether or not everybody rides. A place we held is a horse, a guide’s time and food that went up the mountain for someone.
No total on this site is a stored number
Every figure in your account is worked out again from the price, the party and the rules below each time the page is drawn. That is deliberate: it means a total can always be explained, and nobody can type one in that the rules would not produce.

What is actually paid, and when, is agreed with us directly. This site records money; it never takes it.

Discounts

Two rules — one for how often you have ridden with us, one for how many of you are riding. The site applies them itself, without being asked. They are never added together: whichever is larger is the one you get, and nothing is ever discounted by more than 30%.

Second journey — 10% off
Once you have completed one journey with us, the next one is 10% cheaper per person.
Third journey and beyond — 30% off
From your third journey onward, every booking you make is 30% off per person, for as long as you keep riding with us.
Three or more riding — 20% off
A party of three or more gets 20% off per person. It counts the people who actually ride, not the places on the booking — see the next clause.
What counts as a completed journey
One we have marked completed, that set off before the journey being priced, and that you rode yourself. A trip you booked for other people and did not ride does not add to your own rate, and a cancelled booking never does. Taking a third journey does not reprice the first: each booking is worked out from what you had completed before it left.

Your booking shows which discount was applied and why, so a total is never a number without a reason attached to it.

Riding, and not riding

After a journey has run, our team marks who rode. Everyone counts as having ridden until somebody on our side says otherwise, and an absence is recorded with the day it was marked and, where there is one, a short note of why.

This can change a total you have already seen. The group discount counts riders, so a party of three that becomes two on the trail loses the 20% and the total goes up. The places are still billed — we held all three — so attendance moves the discount and never the headcount.

It also decides your loyalty rate, because a journey you booked and did not ride is not a journey you have taken. If a mark is wrong, tell us: undoing it puts the price back to exactly what it was.

Deposits and payment

Money is settled with us directly, in the WhatsApp conversation. This site has no checkout, stores no card details and has never charged anybody anything.

If a deposit is agreed and paid, our team writes the amount here as a figure in whole US dollars and your booking then shows it as received, with the balance that is left. That figure is our own record of what reached us, not a receipt from a payment provider — if it does not match what you paid, tell us and we will correct it.

What happens to a deposit if the booking is later cancelled is not decided by anything on this site, and we have not written a rule here that we would then have to argue about. It is the first item in the notice at the top of this page. Ask us before you pay one.

Cancelling your own booking

While your departure is more than seven days away you can cancel a requested or confirmed booking yourself, from its page in your account. It takes effect at once: the places go back on sale that second and we are told automatically, without anyone having to notice a message.

You can give a reason and you do not have to. If you do, we keep it — a few sentences’ worth — along with the fact that it was you who cancelled rather than us.

Inside the last seven days the button stops working, and that is deliberate rather than a technical limit: horses, guides and food for your party have been arranged by then, so a cancellation that close goes through a person. Write to us on WhatsApp. A journey that has already been ridden cannot be cancelled at all, and a cancelled booking cannot be reopened from the site — only our team can bring one back.

Whether a late cancellation costs you anything is not settled on this site either; it is the second item in the notice at the top of this page.

If we cancel

We can cancel a booking from our side — a pass that is not safe this week, a horse that cannot go out, a departure that does not fill. When we do, the booking records that it was us and not you who cancelled it, and the reason, and both are visible in your account.

What you are owed when that happens is a commercial decision rather than one the site makes, so it is in the notice at the top of this page instead of being invented here. Until it is written down, nothing on this page promises you an outcome: we will agree it with you directly, and we would rather say that plainly than print a sentence we have not agreed to.

Changing a booking

Nothing on this site changes a booking once it has been sent, except cancelling it. Dates, the number of riders and the names of the people riding are changed by our team after we have spoken to you — which is also how a place that starts out as “Traveler 2” comes to carry a real name.

Your own name, WhatsApp number and country you can change yourself, on your profile page, at any time. Changing them does not change a booking that has already been made.

Changes to these conditions

When these conditions change, the new version replaces this one here and the date at the top changes with it. That date is written by hand, so it is the day the words actually changed and not the day the site was last published.

A booking keeps the price it was sent at, and we treat these conditions the same way: a change made here does not reach back into a booking that is already with us. If one would affect a booking we already have, we will tell you on WhatsApp rather than leave it on a page you have no reason to open again.

Ask before you send

A deposit you are about to pay, a date you are not sure of, a question this page leaves open — all of it is faster as a conversation than as a careful reading. We answer in English, Russian and Kyrgyz.

Everything in the notice at the top of this page is one of those conversations: until those decisions are written down here, they are agreed with you one booking at a time.
